Your privacy matters. Under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), you have the right to opt out of the sale or sharing of your personal information. This page explains how we handle your data and how you can exercise your rights.

We Do Not Sell Your Personal Information

hotelhuddle does not sell, rent, or trade your personal information to third parties for monetary or other valuable consideration. We have never sold your personal information, and we have no plans to do so.

How We Share Your Information

While we do not sell your data, we do share certain personal information in specific circumstances required to provide our services:

1. Service Providers

We share information with service providers who perform functions on our behalf, such as:

  • Payment processing: Stripe processes your payment card information. We never store your full card number or CVV on our servers.
  • Email delivery: Our email service provider sends transactional emails (security codes, account notifications, RFP updates) on our behalf.
  • Analytics: We use analytics tools to understand how visitors use our platform so we can improve the experience.
  • Infrastructure: Cloud hosting and CDN providers keep our platform running and fast.

2. The RFP Process — How Your Contact Information Reaches Hotels

This is the most important sharing disclosure on our platform. When you submit a Request for Proposal (RFP) on any hotelhuddle family site (groupRooms, hotelHaggle, hotelSlots, bookMyTeam), the following happens:

  1. You submit your RFP. You provide your contact information (name, email, phone number), travel details (destination, dates, room count, group name), and any special requirements.
  2. We send your RFP to matching hotels. Your contact information and travel requirements are shared with hotels that match your criteria so they can prepare and submit their proposals.
  3. Hotels receive your contact information. When you select a hotel to receive your RFP — or when our system sends your RFP to matching hotels — that hotel receives your name, email address, phone number, and the details of your request. This allows them to respond with rates and availability.
  4. Hotels may contact you directly. Once a hotel has your contact information, they may reach out to you via email or phone to discuss their offer, ask clarifying questions, or follow up on your request.

⚠️ Important: When you select a hotel and your RFP is sent, your contact information is provided directly to that hotel. Cancelling your RFP request will remove that hotel's access to your contact information on our platform, but it may not remove your information from their internal records or systems. We recommend contacting the hotel directly if you wish to have your information removed from their records after cancellation.

3. When You Cancel an RFP

If you cancel an RFP request:

  • The hotel will no longer be able to view your request or contact information through our platform.
  • Any proposals the hotel has already submitted will remain visible in your dashboard.
  • The hotel may still retain your contact information in their own systems, records, or CRM. We notify the hotel that the RFP has been cancelled and request that they delete your information, but we cannot guarantee that they will do so.
  • You can contact the hotel directly to request deletion of your information from their records.

4. Other Sharing Circumstances

We may also share information when required by law, to protect our rights, or in connection with a business transfer (such as a merger or acquisition).

Clicking this button will set a preference in your browser that prevents us from sharing your information for cross-context behavioral advertising. This preference is stored in a cookie and will last for 12 months. You will need to click this button again after 12 months to renew your preference.

Please note: Opting out of sharing does not prevent us from sharing your information with hotels when you actively submit an RFP. The RFP process requires sharing your contact information with hotels in order to function — if you do not want your information shared with hotels, you should not submit an RFP request.

Limit Use of Sensitive Personal Information

We do not use or disclose sensitive personal information for purposes beyond what is necessary to provide our services. If you wish to limit our use of sensitive personal information further, you may submit a request using the contact methods below.

Your Rights Under CCPA/CPRA

As a California resident, you have the right to:

  • Know what personal information we collect, use, disclose, and sell.
  • Delete your personal information, subject to certain exceptions.
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of your personal information.
  • Limit the use and disclosure of sensitive personal information.
  • Non-discrimination: You will not receive discriminatory treatment for exercising your privacy rights.

Authorized Agent

You may designate an authorized agent to submit a request on your behalf. The authorized agent must provide written permission signed by you, and we may require you to verify your identity directly with us.
