The Association for Talent Development brings Core4 to the Indiana Convention Center from Tuesday September 29 to Thursday October 1, 2026. The venue forecasts 1,000 attendees. The venue describes Core4 as the premier conference for building and refining the core skills every learning and development professional needs, with presentations built for immediate use at work.
Sending several colleagues changes the booking from a row of individual reservations into one block. That shift creates three jobs: hold enough rooms, keep the billing straight per person, and absorb arrivals that land on different flights.
What the venue publishes
The Indiana Convention Center sits at 100 South Capitol Ave, Indianapolis, IN 46225, on (317) 262-3400. The venue's footer also names Lucas Oil Stadium at 500 South Capitol Ave, (317) 262-8600. Four numbers matter for a team:
- 7,100 hotel rooms in downtown Indianapolis
- 4,700 of those rooms connected to the Convention Center by skywalk
- 200 downtown restaurants within walking distance
- 15 minutes to Indianapolis International Airport
A group that moves between a bed and a session room prices the 4,700 skywalk-connected rooms first.
Hold the rooms for everyone at once
A group rate on bookMyTeam applies from a block of 10 rooms, and the platform sends one request to 50 or more hotels per destination, with replies typically inside 24 to 72 hours and nothing to pay to submit. The help page notes that some hotels discount from as few as five rooms depending on season and availability. For twelve colleagues over three nights, the block is six double rooms: 18 room-nights at 1.5 per person.
Two terms decide whether the block holds. The cut-off date is the deadline by which each colleague books inside the block, and anything unclaimed after that returns to the hotel's general inventory. An attrition clause sets the minimum share of the block your team must fill, so a block built for eighteen room-nights that fills twelve can carry a penalty. Build the block on the number of colleagues who have confirmed, and hold the rest as a request.
Keep per-person billing straight
Per-room billing works inside a group block. Ask the hotel to bill each room to the individual named on it, so each colleague settles their own room and incidentals, and keep the group rate locked on each. Where your department pays, reverse the routing: one master folio for room and tax, with incidentals on the individual. Get the structure written into the agreement before signature.
The arithmetic to hand your finance team, using an example rate of $200 a night: 18 room-nights is $3,600 before any group discount, $3,060 at 15 percent off (about $255 each across twelve people) and $2,160 at 40 percent off (about $180 each). If the team stays two nights instead of three, 12 room-nights is $2,400, $2,040 (about $170 each) or $1,440 (about $120 each). The $200 is an example for the arithmetic. bookMyTeam publishes the 15-40 percent band as its own group saving off rack rates. Replace both with the figures in your quote, and add any city or state room tax the property confirms.
Book around different arrival flights
Indianapolis International Airport is 15 minutes from downtown, so arrival windows land inside a short stretch of the day, and the skywalk network removes the taxi leg at the downtown end. Three practical moves:
- Send the hotel a name-by-name arrival grid with flight numbers and times, and ask it to hold rooms through the latest arrival, past the standard check-in cut.
- Book one extra room on the first night when a colleague lands after the front desk's normal release hour.
- Put the session walking route in the same email as the arrival times.
From registration to room confirmation
- Register the team on the programme through the event website the venue links from its event page, and note which days each colleague attends.
- Confirm the headcount and the nights per person, then split the group into double rooms to get your room-night count.
- Collect every arrival date, flight number and departure date, and flag anyone landing after standard release hours.
- Submit one request covering the dates and room count. The group rate calculator gives the first per-person figure to test against your budget.
- Compare the offers side by side, then check each finalist against the Indianapolis team hotel directory record for address and tier.
- Sign for a block you can fill, agree the folio structure in writing, and send the rooming list and arrival grid to the property.
- Get the confirmation numbers back in writing for every room, and issue them to the team with the cut-off date on the same page.
The Monday before is a 12,000-person move-out
The center is busy that week. The Do it Best Corp. Fall Market runs September 25 to 28 at the same venue, with a forecast attendance of 12,000, and it ends the Monday before Core4 opens. Start the request once your headcount is firm.
What to put in the request
Four facts decide whether a property works for a team, and none of them appears on the listing pages: the bed configuration behind each room, the breakfast opening hour against an early session start, coach and trailer parking, and whether a group can hold a shared floor. Add walking distance to the Convention Center, the folio structure and the cut-off date you need. bookMyTeam lists 103,857 hotels across 46 states, and the request is free at bookMyTeam. Read how the block works or browse every destination before you submit.
