The three-day shape

Three days gives the group two hotel nights on a first-morning arrival and a third-night stay on a first-evening arrival. Sessions that open early on day one reward the extra night. Fix the pattern before you price anything, because the room-nights and the shuttle days both move with it.
Fly or drive
The venue publishes a 15 minute drive from the convention center to Indianapolis International Airport. A morning flight lands the group in time for an afternoon start, and a Thursday close leaves room for the return that evening.
A drive adds one item to the request: parking. Two or three vehicles need the space and the rate confirmed per vehicle. Add the drivers to the shuttle list anyway, so a late session leaves the cars at the hotel.
One hotel for the whole group
Indianapolis publishes 7,100 hotel rooms downtown and 200 restaurants within walking distance of the convention center. It publishes 4,700 rooms connected to the building by skywalk.
Ask each property two questions. How many minutes under cover from the lobby to the convention center entrance, and can the group hold its rooms on one floor? A shared floor lets one director reach four rooms from one corridor.

Transport to the sessions
A group of eight to twelve needs a plan for the gap between the hotel and the ballroom, and for the airport run. A skywalk hotel closes most of that gap.
Keep one shuttle on call for the arrival evening and the departure morning. Book both runs at the same time as the block, and give every traveller the pickup point in writing before they fly.
