Set the group's departure times against those hours. The Monday floor closes at noon, so the return leg belongs in the early afternoon.
One hotel for the group
Indianapolis publishes 7,100 hotel rooms downtown and 200 restaurants within walking distance of the convention center. It publishes 4,700 rooms connected to the building by skywalk.

The pickup and drop-off point is the convention center entrance near the Maryland Street Canopy, across from the Westin. Buses run about every 30 minutes. Friday 7 a.m. to 5:45 p.m. Saturday 5:30 a.m. to 5:45 p.m. Sunday 6:30 a.m. to 7:15 p.m. Monday 6:30 a.m. to 2:30 p.m.
A block inside that list leaves the airport leg as the only transfer to arrange. Collect flight numbers at the point you collect the room list, then run the airport shuttle twice, once after the first cluster of landings and once after the second.
The daily roll call
Run a roll call in the hotel lobby 20 minutes before departure. Name one person per crew as the checkpoint, and let that person report the count. Run the same roll call at the show floor meeting point at the close of each day.
Pair each roll call with a printed card. The card carries the hotel address, the shuttle window and two contact numbers. Give the group the lobby as the fallback meeting point.
Three answers to collect
The event page publishes no bed configuration for the room types and no statement on whether a property holds a group floor. Ask the hotel for both. Ask the organiser for the registration cut-off date.
