A Three-Day Window That Starts Friday Afternoon
AES Show Nashville 2026 runs October 30 to November 1 at Gaylord Opryland Resort in Nashville. The Audio Engineering Society publishes workshop and session hours of 2 p.m. to 6 p.m. Friday, 9 a.m. to 7 p.m. Saturday and 9 a.m. to 5 p.m. Sunday.
Those windows set the travel plan. A Friday morning arrival reaches the property before the first session. A Sunday departure after 5 p.m. keeps the closing programme inside the trip. Two nights cover the show, and a Thursday night buys a full Friday morning on site.
Where the Programme Sits
The exhibit floor occupies Ryman Exhibit Hall B4 and B5 at the Gaylord Opryland. On-site registration sits in front of that hall and opens 10 a.m. to 6 p.m. Friday, 8 a.m. to 6 p.m. Saturday and 8 a.m. to 4 p.m. Sunday. Exhibit hours are 10 a.m. to 6 p.m. Saturday and 10 a.m. to 5 p.m. Sunday.
Keynotes and panels run in the Davidson Ballroom on Level 2 and on the main stage inside the exhibit hall. Saturday carries the Dolly Parton tribute panel at 10:30 a.m. on the main stage, a keynote interview with Vince Gill and Justin Niebank at 1 p.m., a METalliance discussion at 2 p.m., the Women in Audio 30th anniversary session at 3 p.m., the Grammy Soundtable at 4 p.m. and the Richard Heyser Memorial Lecture with Marina Bosi at 6 p.m. Sunday carries keynote interviews with Jack White at 1 p.m. and John McBride at 2 p.m., then The Forum from the Recording Academy Producers and Engineers Wing at 3 p.m.
Two Events That Put Transport on the Planner
The off-site programme needs a vehicle. The AES HBCU 2026 Audio Conference runs 10:30 a.m. to 12 p.m. at Curb, 43 Music Square East, Nashville, TN 37203. The DEI Mixer runs 7 p.m. to 9 p.m. at Welcome to 1979 Studios, 1110 48th Avenue North, Suite 100, Nashville, TN 37209. The show page marks both "Own Transport Required."
OpenStreetMap routing puts Curb 12.5 miles and about 21 driving minutes from Gaylord Opryland. The same routing puts Welcome to 1979 Studios 14.6 miles and about 25 minutes from the property, and 4.3 miles and about 9 minutes from Curb. One vehicle can serve both addresses.
Book against the clock window. A 10:30 a.m. start at Curb means a pickup that clears the Opryland driveway by 9:45 a.m. A 7 p.m. mixer at the studio means a return after 9 p.m. The show page prints no date beside either event, so confirm the day with the society before the vehicle is contracted.
What a Seat Costs
All Access registration covers the programming, the special events in the ballroom, workshops, papers, the exhibits and the show floor sessions. Published regular rates are $575 for AES members, $700 for non-members and $100 for AES student members. A one-day All Access pass costs $195 for members and $220 for non-members. An Exhibits+ badge covers the exhibit hall, the main stage sessions and the experience rooms at selected times, at $25 for members and $35 for non-members.
Six people on All Access, two of them members and four not, come to $3,950. The same six on Exhibits+ badges at the non-member rate come to $210. A production team that needs the workshops and the papers takes All Access for all three days. A team that works the floor takes Exhibits+ and adds a one-day pass for the day it needs the sessions.
The Published Room Block Is Sold Out
Gaylord Opryland is the venue hotel and the property holds the show. The hotels page states the discounted room block is sold out. The line under it sends readers to the regular rate through the booking button, and the line under that offers 30 per cent off the regular room rate on strictly limited availability. Confirm the block state with the property before a budget is fixed.
The show publishes no nightly rate. Its other hotel links route to VisitMusicCity.com, Hotels.com and Booking.com, and the page states those companies are not affiliated with AES, the show or aesshow.com. A team of eight in four double rooms covers Friday and Saturday nights in eight room nights. A Thursday arrival adds a fourth night in each room, for twelve.
Four rooms a night sits under the 10-room band most hotels publish for group rates. bookMyTeam states that most hotels offer group rates at 10 or more rooms per night and some discount from five rooms depending on season and availability. A team of that size can send the request through the RFP route and let the Nashville properties answer on the room count. The group rate calculator gives the planner a working figure before the request goes out.
Travel to the Property
Nashville International Airport sits 10 miles and about 22 driving minutes from Gaylord Opryland on the same routing data. The property address is 2800 Opryland Drive, Nashville, TN 37214.
The society's contact address is 697 3rd Avenue, Suite 405, New York, NY 10017, on +1 212 661 8528, with registration questions by email to events@aes.org. Life members request registration details from that address.
What to Confirm Before Approval
Four items carry the risk. Confirm the day of each off-site event, because the page prints a time and an address for both and a date for neither. Confirm whether the discounted block is closed, since the hotels page states it sold out and still offers the rate. Ask the property for the nightly rate, the cut-off date and the release terms. Read the society's event cancellation policy, which the registration page links and does not summarise, before the registration payment goes through.
