The Dallas Coffee Festival sells two ways into the same room, and the choice lands on a team schedule. Early Admission enters an hour before General Admission and keeps the General Admission window. All Day passes cover both sessions and let a holder step out and back in. The 2027 edition runs March 13 and 14 at Gilley's Dallas, 1135 Botham Jean Blvd, Dallas, TX 75215.
One Session Grid, Two Ticket Types
The organiser, Craft Hospitality LLC, prints the same session grid for both days. Session 1 lists Early Admission from 9am to 10am and General Admission from 10am to 1pm. A service break follows, 1pm to 1:30pm. Session 2 runs 1:30pm to 4:30pm. The About page names the early hour as the only difference between the ticket choices within a session, and states that an Early Admission ticket includes the General Admission time as well.
The tickets page adds one term that trims both windows. All service stops 15 minutes before the end of each session time. A team that wants coffee in hand at the close should plan its last stop for 12:45pm and 4:15pm.
The Extra Hour as a Team Window
Early Admission buys 60 minutes in the room before the 10am entry. A team of eight to twelve can walk the roaster tables together in that hour, before the room takes its General Admission entry.
The About page gives venue capacity as the reason each entry needs its own ticket. Read that line against headcount. Ten colleagues need ten tickets, whatever they plan to taste.
What an All Day Pass Adds
The organiser publishes a limited number of All Day passes. A pass covers both sessions of the event day, carries in-and-out privileges, and gives the holder the exclusive opportunity to stay inside during the service break.
The break carries its own published instruction. The organiser asks attendees to let roasters rest and take a breather between sessions, and suggests using the half hour to talk with them or to eat from Gilley's kitchen. There is no service between session times. A team that stays inside keeps its place in the room. It does not get coffee between 1pm and 1:30pm.
Saturday or Sunday: The Music Is the Variable
The organiser states that the vendor list does not change between the two days. The live music does. Saturday Session 1 carries Mary Hinton and Session 2 carries Other Vessels. Sunday Session 1 carries Rosy L and Session 2 carries Rafa & Josue.
That leaves the team calendar as the deciding input. A Saturday outing puts the 9am gate on March 13. A Sunday outing puts it on March 14. The event is indoors and runs regardless of weather, per the tickets page.
Three Terms That Bind a Team Purchase
A pass is valid for the event date purchased and the session purchased. The organiser requires redemption on that date, between the purchased session times, and states that the pass is forfeited otherwise. A colleague who can attend only the afternoon still buys a ticket for the session the team books.
Refunds are available up to 30 days before the event date. That date is Thursday, February 11, 2027. After it the offer is final sale and nonrefundable. A transfer of session times sits at the organiser's discretion and is never permitted within 48 hours of the event start. The 9am March 13 start puts that line at 9am on Thursday, March 11, 2027. Corporate approval for a team purchase needs to land before both dates.
What the Ticket Covers
Coffee tastings from the coffee vendors are included. Food is not included and is available for purchase. The organiser lists non-coffee drinks for colleagues who skip the coffee, and permits reusable cups.
The festival publishes a no-solicitation rule. Unauthorised promotion of products or services on festival grounds is not permitted, and a company that sells coffee, equipment or other goods without prior written approval from event management will be asked to leave. A team attending as buyers sits inside that rule. A team attending to pitch roasters would breach it.
The Published Price Band
The festival's own pages carry no ticket price, because the price grid sits in the Eventbrite widget. The 2027 Eventbrite listing publishes an aggregate offer from $31.54 to $73.36 USD. It does not say which ticket type holds each end of that band. Treat the range as the outer bound and confirm the per-head figure at purchase.
Run the band across a team. Twelve colleagues at the top of the range come to $880.32. Twelve at the bottom come to $378.48. That figure is arithmetic on the listing's numbers.
The Hotel Side of a 9am Saturday Gate
A 9am gate on Saturday March 13 sets the travel day at Friday, March 12. A team that stays for the 4:30pm close on Saturday needs two nights. A team that drives home Saturday evening needs one. bookMyTeam's Dallas hotel directory lists 790 hotels available, and the request form takes dates and room counts for the whole stop.
bookMyTeam's how-it-works page puts group rates at 10 rooms per night at most hotels, with some properties discounting from five rooms by season. Hotels respond in 24 to 72 hours, and the request reaches 50 or more hotels per destination. Two nights for twelve rooms is 24 room nights, which clears the threshold on either figure.
Submit the block before the February 11 refund line, so a headcount change still has a route. The group rate calculator gives a first figure, and the RFP form carries the dates.
