Three Days, Thursday to Saturday
The dates set the room count. Thursday, October 8 and Friday, October 9 are working days. Saturday, October 10 closes the programme.
A team that travels on Wednesday and returns on Saturday holds three hotel nights. A team that arrives on Thursday morning holds two. The Saturday finish keeps the trip inside a normal school week. Delegates miss two school days, and Monday stays clear.

Build the Rooming List as Approvals Land
A rooming list is a name beside a room type. Start it the day the request goes out and fill it in as each approval clears.
Settle the bed configuration first. Three doubles hold six colleagues and bill three room-nights. Six singles hold the same six colleagues and bill six room-nights. The mix moves the total, so agree it before the hotel quotes.
Add the arrival pattern next. Some delegates drive in on Wednesday evening. Others arrive on Thursday morning and need a luggage hold before check-in. Record dietary and mobility requirements on the same sheet, and send it to the hotel before the cut-off date.
Room Nights for Three Days
