What GMRC publishes about the 2026 conference
The 2026 Gas Machinery Conference runs 4-7 October at the Indiana Convention Center, 100 S. Capitol Avenue, Indianapolis, IN 46225. GMRC's own page lists 1,100 attendees expected, 100 or more exhibitors, 80 or more short courses, technical papers and technology updates, and four days of learning and networking. The venue's event listing carries a forecast attendance of 900.
Registration is $950 for members, $1,150 for non-members, $450 for a guest and $475 for a student, with $200 added for on-site registration. The keynote is Chad Knaus, NASCAR Hall of Fame crew chief and Vice President of Competition at Hendrick Motorsports, on Monday 5 October at 11:00 am. The venue page lists no daily session hours.
One block has closed, one still books
GMRC publishes a host hotel block and courtesy blocks. The host hotel is the JW Marriott, 10 S West Street, Indianapolis, IN 46204. The courtesy blocks are the Embassy Suites by Hilton Indianapolis Downtown, 110 West Washington Street, Indianapolis, IN 46204, and the Fairfield Inn & Suites, 501 West Washington Street, Indianapolis, IN 46204.
The JW Marriott block and the Embassy Suites block both carry the same notice, as published: the block has closed and attendees book with the hotel directly. The Fairfield listing carries rooms from $179 plus tax a night, with booking open to 25 September 2026. A closed block changes the booking route. A team still needs one reference for the whole delegation and one cut-off date.
Staggered arrivals drive the room count
Part of a team often flies in for the exhibit floor only. Run the two groups separately before you send a request. Take a team of twelve. Six arrive Sunday 4 October for the full programme and leave Thursday 8 October, a four-night stay. Six arrive Monday 5 October for the exhibit floor and leave Wednesday 7 October, a two-night stay.
At two people per room the first group holds three doubles across four nights, or twelve room-nights. The second holds three doubles across two nights, or six room-nights. The team occupies eighteen room-nights in total. The same twelve engineers in single rooms generate thirty-six room-nights. Set the cut-off against the block
A room block holds rooms at a locked rate until a cut-off date. Unclaimed rooms then return to the hotel's general inventory. For a staggered team, place the cut-off at least three weeks before the first arrival. Late arrivals then claim rooms inside the block without pulling the early group off the group rate.
GMRC publishes its own release guideline for sponsors and exhibitors: book inside the official block at the headquarters hotel, secure the reservation during registration where possible, and release unused rooms at least 30 days before the conference starts. bookMyTeam's glossary carries the clause that sets the minimum share of the block your team must fill, under the names attrition clause, performance clause and slippage clause. One reference, one invoice
Ask for a single confirmation covering every name on the rooming list. One reference keeps the team in one allocation and gives the hotel's group desk one contact.
Ask two payment questions together. The first is who is named on the folio. A master folio for room and tax keeps one invoice for the group, with incidentals on individual rooms. The second is whether the card guaranteeing the reservation can be swapped at check-in. GMRC publishes that a guest may update the card at check-in and may provide an alternate form of payment for the stay. Ask the hotel to write both into the agreement. A single invoice split by department afterwards is a contract line, not a favour at the desk.
Cancellation and the skywalk plan
GMRC publishes a 48-hour cancellation window. A guest may cancel or modify without penalty up to 48 hours before arrival. Inside that window, or on a failure to check in, the hotel may charge one night's room rate plus applicable taxes and fees.
Downtown Indianapolis holds 7,100 hotel rooms. More than half sit within blocks of the Indiana Convention Center and Lucas Oil Stadium, and the venue describes the district as walkable. The venue publishes 4,700 rooms connected to the Convention Center by skywalk, 200 downtown restaurants within walking distance, and a 15-minute trip to Indianapolis International Airport. Skywalk hours are event-dependent, with a published rule of thumb of lock-down at about 11:00 p.m. and reopening at about 6:00 a.m.
What to put in the request
Send the hotel the arrival and departure dates per person, the doubles and singles count, the rooming list, the cut-off date, the folio structure and the department split. Ask the property to confirm the block rate against the 15 to 40 per cent band and to name the attrition percentage in writing.
