A district delegation heading to the ISBA/IAPSS Fall Conference has two jobs to finish at once. The registrations come off a published price list with a team code. The rooms need one reference for the whole delegation.
The 77th Annual Fall Conference
The ISBA/IAPSS Annual Fall Conference runs 5-6 October 2026 at the Indiana Convention Center, 100 S. Capitol Avenue, Indianapolis, IN 46225. The organizer publishes the theme as "Change Doesn't Wait". The venue's event listing carries a forecast attendance of 1,000.
Conference pricing is $375 per person. The organizer publishes two team discounts for a board and its superintendent: the code 5AND1TEAM takes $90 off a full five-member board and one superintendent, and the code 7AND1TEAM takes $120 off a full seven-member board and one superintendent.
What the two days look like
The organizer publishes an agenda at a glance. Sunday 4 October carries conference registration from 10:00 am to 2:00 pm. Monday 5 October opens registration at 7:30 am, runs the general session from 8:45 to 10:45 am, and holds clinic sessions from 11:00 am to noon, 2:00 to 3:00 pm and 3:30 to 4:30 pm, with lunch from noon to 2:00 pm. Tuesday 6 October runs the general session from 8:30 to 9:45 am and clinic sessions from 10:00 to 11:00 am and 11:15 am to 12:15 pm.
Two keynotes fill the two days. Gian Paul Gonzalez, founder of the nonprofit Hope & Future, speaks on day one. Jim Mahoney, a former superintendent and the founder of RedBrick Hill, speaks on day two.
Sunday arrival, Tuesday afternoon departure
Adults arriving together on Sunday land inside the 10:00 am to 2:00 pm registration window. The last session ends at 12:15 pm on Tuesday, which leaves a Tuesday afternoon departure open.
That window produces two nights, Sunday 4 October and Monday 5 October. A delegation of six holds three doubles across two nights, or six room-nights. A delegation of twelve holds six doubles across two nights, or twelve room-nights.

One reference for the whole delegation
Ask for a single confirmation covering the board members and the superintendent on one reference. A district delegation changes shape before the conference. One reference absorbs a substitution without a second card hold.
Say in the request that you want no separate card hold per attendee. The confirmation then carries the whole delegation, and the rooming list updates inside that one reference. The organizer's team code does the same job on the registration side, because it applies to one invoice covering a full board and its superintendent.
The invoice, split by cost centre
Ask who is named on the folio. A master folio for room and tax keeps one invoice for the district, with incidentals on individual rooms. Name the cost centres at the point of booking, so the split reaches the hotel before checkout.
Register the team, then hold the rooms
Do the registration arithmetic and the room arithmetic together, because a district reports both. A five-member board and one superintendent come to six registrations at $375, or $2,250, and the 5AND1TEAM code takes that to $2,160. A seven-member board and one superintendent come to eight registrations, or $3,000, and the 7AND1TEAM code takes that to $2,880.

bookMyTeam's glossary sets a group rate at a block of 10 or more rooms. The platform's own FAQ notes that some hotels discount from as few as five rooms depending on season and availability, so ask the property what it offers for a partial block held across two nights.
Where the rooms are
Downtown Indianapolis holds 7,100 hotel rooms. More than half sit within blocks of the Indiana Convention Center and Lucas Oil Stadium, and the venue describes the district as walkable. The venue publishes 4,700 rooms connected to the Convention Center by skywalk, 200 downtown restaurants within walking distance, and a 15-minute trip to Indianapolis International Airport. Skywalk hours are event-dependent, with a published rule of thumb of lock-down at about 11:00 p.m. and reopening at about 6:00 a.m. For a delegation moving between a hotel and a session room, the skywalk count is the planning number.

What the organizer does not publish
The conference page publishes the agenda, the venue, the pricing and the team codes. It publishes no host hotel and no room rate. Rooms are a separate negotiation, and the delegation's own requirements belong in the request: bed configuration, breakfast opening time, coach and trailer parking, and any shared-floor policy.
What to put in the request
Send the hotel the Sunday arrival and Tuesday departure, the doubles and singles count, the rooming list, the cut-off date, the folio structure and the cost centres. Ask the property to confirm the rate against the 15 to 40 per cent band and to name the attrition percentage in writing.
