The window: Wednesday 4 to Saturday 7 November
The NSTA National Conference on Science Education runs Wednesday 4 November to Saturday 7 November 2026 at the Indiana Convention Center, 100 S Capitol Ave, Indianapolis, IN 46225. The conference site publishes the theme Empowering Educators, Fueling Futures. The Indiana Convention Center forecasts 4,000 attendees on its event page for the same dates.
The published rates and the group discount
NSTA publishes a conference registration fee sheet for the 2026-2027 year. Full two-to-four-day registration is $440 for a member at the early-bird rate and $465 at the regular rate. A non-member pays $550 early bird and $575 regular, and non-member registration includes one year of NSTA membership. A retired teacher pays $305 early bird and $330 regular, and a student pays $185 and $210.
The same sheet carries the group rule: registration is discounted 10% for school or district teams of 5 or more people attending all days. The early-bird deadline for Indianapolis is 25 September 2026.
The Bring Your Team track
NSTA publishes a District Team Program for schools and districts. Register a team of five or more educators together and the team receives a 10% registration discount.
The published benefits extend past the discount: a dedicated district planning session of 60 to 90 minutes during the conference, with meeting space, a facilitator guide, reflection prompts, planning templates and refreshments as available; a district leader planning guide; Leadership Lounge access; a professional district team photo; a communications toolkit; and post-conference implementation support.
Eligibility carries two conditions: five or more attendees registered together, and at least one district or school leader on the team. NSTA names the qualifying roles: superintendent, assistant superintendent, principal, assistant principal, director of curriculum, STEM supervisor and science coordinator.
The INDY26 Leadership Experience at $525
NSTA publishes one bundle for school and district leaders. The ticketed events page states over $1,400 in value for $525.
The bundle carries six named items: the Leadership Development Academy, the Leaders Institute, full NSTA conference registration, leadership-focused sessions, exclusive Leaders Lounge access, and networking with education leaders.
The two named components run on their own days. The Leadership Development Academy runs Wednesday 4 November, 8:15 a.m. to 3:45 p.m., at the Indiana Convention Center, with registration from 7:15 a.m. The Leaders Institute runs Thursday 5 November, 8:00 a.m. to 3:00 p.m., in the same building. NSTA states that conference registration is not required to attend the Leaders Institute, and that participants in the Leaders Institute or a Professional Learning Institute receive free breakfast and lunch.
One reservation and one rooming list
A district team of six educators is three double rooms. The team arrives for the Wednesday morning start, so the room nights sit on Tuesday or Wednesday through Saturday.
One rate request covers the whole delegation. The rooming list carries names, arrival dates and sharing pairs, and the district collects it before the request goes out.
The published threshold is a block of 10 or more rooms per night. bookMyTeam notes that some hotels discount for as few as 5 rooms depending on season and availability. A district team of four to six educators is two to three rooms.
The housing route and the 11 October deadline
NSTA publishes one official housing provider, IMN Solutions, and states that reservations must be made through it. All reservations must be received by 11 October 2026 to guarantee availability and conference rates. After that date rooms come from remaining availability at rates the hotels set.
Each reservation carries a one-night room and tax deposit per room as a credit card guarantee. IMN sends an acknowledgement within 24 hours, and the hotel confirmation arrives about two weeks before the conference.
NSTA publishes a housing fraud warning alongside the rates and asks anyone contacted by an unaffiliated company to forward the information to nstahousing@imnsolutions.com. The housing desk answers on (571) 579-3867, 9:00 a.m. to 6:00 p.m. EST, Monday to Friday.
Published room rates for the block

Room maths for a six-person team
Three double rooms for three nights, Wednesday to Saturday, give 9 room-nights. At $189 that is $1,701. At $209 it is $1,881. At the $269 headquarters rate it is $2,421.

The Saturday return
Saturday 7 November is a working conference day. The schedule at a glance runs registration from 7:30 a.m. to 1:00 p.m., concurrent sessions from 8:00 a.m. to 2:00 p.m., the Expo Hall from 9:00 a.m. to 1:00 p.m., and the closing reception from 2:00 to 3:00 p.m.
A Saturday check-out and an evening flight put the team back for Monday. A Saturday night stay adds one room night and buys a Sunday travel day.
Building the approval case
NSTA publishes a justification letter as a template, addressed from the attendee to a supervisor. Its content rests on the conference's own published facts: hundreds of peer-led sessions and workshops, professional development credit based on clock hours, graduate-level credit through Dominican University of California, six conference strands, and Expo Hall access. The letter names one registration benefit worth quoting in a district request, which is that registration includes a one-year NSTA membership.

Four facts for the request
The bed configuration held in the block, the breakfast opening hour, parking for a van or bus, and the policy on a shared team floor belong in the request.
