The November 18 line sets the price
The Transportation Research Board convenes its 106th Annual Meeting on January 10-14, 2027, at the Walter E. Washington Convention Center and the Marriott Marquis in Washington, D.C. General registration costs $1,225 for an early bird booking by November 18. The advance window runs November 19 to January 7 at $1,520. Onsite registration starts January 8 at $1,570.
For a four-person delegation, those three tiers price out at $4,900, $6,080 and $6,280. The gap between the early-bird total and the advance total is $1,180, or $295 a seat. The gap between early bird and onsite is $1,380.
What one day costs, and the mixed roster
TRB publishes a one-day registration at $735 early bird, $915 advance and $945 onsite. The pass covers one day out of Sunday, Monday, Tuesday, Wednesday or Thursday, and the holder names that day at registration.
A two-and-two roster prices at $3,920 on the early-bird tier, $4,870 on advance and $5,030 onsite: two full-meeting seats plus two one-day seats. Send the two people who need the committee meetings for the week and the two who need the exhibit floor and one technical session for a day.
What the fee buys
Registration covers 4,500 or more presentations across 500 workshops and sessions, more than 100 standing technical committee meetings, and three days of exhibits. It includes the online programme in January and the mobile app in December, access to the TRB hotel block, and 30 days of access to the Transportation Research Record. The exhibit hall opens Sunday 4-7 p.m. with a reception and runs Monday and Tuesday 9 a.m. to 4 p.m. The career fair runs Sunday 10 a.m. to 2 p.m.
Meals are not included in the registration fee. That line sits directly under the fee table, and a four-person food budget has to be built outside the $4,900.
Two administrative charges sit outside the ladder. A reprint of a printed badge costs $50, and TRB bars badge sharing. Workshops run on the first and last day of the meeting, January 10 and January 14.
The expo-only pass and the four-person version
TRB sells an Expo Only Day Pass at $100. It goes on sale online January 8 and onsite from January 10. It includes limited mobile-app access and excludes sessions, workshops, committee meetings, the TRB hotel block, the online programme and the printed programme.
For a team whose fourth attendee needs the exhibit floor, the $100 pass stands against a $1,570 onsite badge, a $1,470 difference.
The room block runs on a separate clock
TRB requires meeting registration to secure a guest room inside its hotel block. The board negotiated the Federal per diem rate for guest rooms at $203 a night, and its housing bureau manages every reservation against a credit card guarantee. Reservations run through December 21, 2026, or until the block sells out, whichever happens first.
Two rooms for four people across five nights, January 9 through January 14 checkout, come to $2,030 at the published rate. The early-bird registration saving of $1,180 covers most of that room bill.
Changes and cancellations go in writing to the housing bureau before December 22, 2026. From December 22 through December 28 neither the bureau nor the hotels accept a change. From December 29 the confirmed hotel handles the reservation. A cancellation inside 48 hours of arrival, or a no-show, is charged one night's room and tax by the hotel.
Cancelling four seats
Registration cancellation needs a written request to the TRB Registration Bureau by Wednesday, December 9, 2026. The refund comes back minus a $50 cancellation fee, and the bureau accepts no telephone cancellations. Four cancelled seats cost $200 in fees against the $1,180 the early-bird tier saves, which keeps an early commitment safe for a team whose headcount can still move.
Getting the team to the venue
The convention center sits at 801 Allen Y. Lew Place NW, between 7th and 9th Streets NW. The Marriott Marquis is at 901 Massachusetts Avenue NW. The nearest Metro stop is Mt Vernon Square/7th St-Convention Center on the Green and Yellow lines.
TRB publishes three airport distances: Ronald Reagan Washington National at 5 miles and 20 minutes, Dulles at 29 miles and 50 minutes, and Baltimore/Washington International at 32 miles and 60 minutes. Union Station sits 1.2 miles and 10 minutes away. Taxis between the convention center and the TRB hotels run roughly $5 to $15.
The booking order for a four-person team
Four people need two rooms. bookMyTeam publishes group rates on a block of 10 or more rooms a night, so a two-room request goes through the RFP route at /rfp/submit. The service costs nothing to submit and reaches 50 or more hotels per destination.
bookMyTeam publishes a 15-40% saving below rack rates as the result competitive bidding produces. The TRB block rate of $203 a night is the figure to beat or match, and the platform band is a benchmark against it. A department sending a larger group can model the block on the group rate calculator.
Three deadlines decide the budget: registration by November 18 for the $1,225 rate, cancellation by December 9 for a refund less $50, and the room block by December 21 or sellout. Put all three on the approval request before it goes upstairs.
