The IAAPA Public Affairs Conference runs 1 to 3 March 2027 at the Sofitel Washington DC Lafayette Square, 806 15th Street NW, Washington, DC 20005. IAAPA publishes an exclusive conference rate of $349 per night plus taxes and fees, and asks that rooms be booked by 9 February 2027. Rooms are limited.
What three delegates cost
Three delegates, three nights, one room each: 3 x 3 x $349 is $3,141 before tax. One delegate for three nights runs $1,047. The District adds a 15.95 percent transient accommodations tax on room charges, extended until 30 September 2027 by the Office of Tax and Revenue. On $3,141 the tax is $500.99 and the room total is $3,641.99. On one delegate's three nights the tax is $167.00 and the total is $1,214.00.
Two nights covers the programme
The programme opens 1 March and closes 3 March. A delegate who arrives on the opening morning and leaves on the closing afternoon books two nights, 1 and 2 March, at $698 per room. The tax is $111.33 and the room total is $809.33 per delegate. A third night adds $349 plus $55.67 in tax.
IAAPA publishes no arrival or departure guidance for the conference. Price the night before the opening day as a working margin.
Registration on top of the room
The pricing table lists the Public Affairs registration fee at $999 for a nonmember and $499 for a member. Three nonmember seats come to $2,997. Three member seats come to $1,497, a $1,500 difference across the delegation. A corporate team that sends three people should check membership status before it books the seats.
IAAPA states that Early Bird rates end 31 December 2026. The table shows one figure per tier and no date ladder, so confirm the rate that applies to a booking made after that date before the travel request is signed.
The package total
Three nonmember seats plus three nights for each delegate, with the room tax: $2,997 in fees and $3,641.99 in rooms is $6,638.99, or $2,213.00 per delegate. On member seats the same trip is $1,497 in fees and $3,641.99 in rooms, which is $5,138.99, or $1,713.00 per delegate. Run the arithmetic on your own headcount before comparing an agency price.
Book inside the 9 February cut-off
The group rate closes 9 February 2027. Four questions belong in the booking message. Does the conference rate apply to the whole stay or to a limited night set. What is the block size, and what happens to the rate when the block sells out. What is the cancellation and deposit term on the conference rate. Does the property extend the rate to a delegate who books after the cut-off and asks.
The conference page publishes no cancellation policy, no block size and no deposit schedule. Ask for each in writing, and hold the confirmation with the travel approval.
Transfers sit outside the rate
The $349 is the room rate before taxes and fees. The $999 is the registration fee. IAAPA publishes one fee line and a statement that the fee excludes accommodation and airport transfers. Washington is served by DCA, IAD and BWI, as Events DC states. Price a round trip per delegate from the airport as a separate line, and add the transfer to the package total before the budget is submitted.
Two delegates arriving on different flights cost two transfers. A delegation of three that lands on one flight shares one vehicle in each direction.
The evening of 2 March is included
IAAPA attendees receive complimentary admission to IAAPA Meetup: National Geographic Museum of Exploration on the evening of 2 March 2027. The page lists the meetup as an added benefit and publishes no separate price.
Why the trip prices as a fixed package
Three delegates, fixed dates, one published room rate and one published fee produce a known ceiling before the trip starts. IAAPA describes the conference as direct access to lawmakers and discussions on the future of travel and tourism. The variables are the room tax, the night count and the airport transfer.
Send the property the headcount, the arrival and departure dates, and the conference rate you expect applied. bookMyTeam builds a request from a city, a date range and a room count, sends it to 50+ hotels in that destination, and returns the offers in one dashboard. Its group rate calculator puts a property's online rate against a group discount and converts the comparison into an RFP.
The dates to hold
31 December 2026 closes the Early Bird window. 9 February 2027 closes the group room rate. 1 March 2027 opens the conference. Book the rooms first, the seats second, the transfers third, and reconcile the package total against the per-delegate figure.
