Two Midweek Days in the Ballrooms
Apex Defense runs January 27 and 28, 2027 in the ballrooms at the Walter E. Washington Convention Center, 801 Allen Y. Lew Place NW, Washington, DC 20001. Clarion Defence & Security organises the event in collaboration with the Hudson Institute. Wednesday and Thursday hold the programme.
That calendar fixes the trip. Book two nights per delegate, Tuesday January 26 and Wednesday January 27. Fly the team home Thursday evening after the close. A Wednesday morning arrival spends the opening morning in transit.
The organiser states the mission as accelerating the delivery of mission-critical capability to U.S. warfighters and allied forces.
Arrival Tuesday, Working Wednesday
The organiser publishes three airport distances. Ronald Reagan Washington National Airport sits 4.9 miles from the building. Washington Dulles International sits 29 miles out. Baltimore/Washington International Thurgood Marshall sits 31.5 miles out. A Tuesday afternoon flight from any of the three leaves time for a team dinner and a document check.
Amtrak runs into Union Station on the Red Line. The Mt. Vernon Square/7th Street-Convention Center station sits under the building on the Green and Yellow lines, and its entrances lead into the Convention Center. Gallery Place-Chinatown on the Red Line is a five-minute walk. Events DC runs a Lyft pick-up and drop-off point at the corner of Mount Vernon and 9th Street.
Room Counts Worked From the Badge List
Nine delegates in single rooms need nine rooms and 18 room nights. The same nine paired into four doubles and one single need five rooms and 10 room nights. Twelve delegates paired into six doubles need six rooms and 12 room nights. The sharing decision moves eight room nights on a nine-person trip, so settle it before the request goes out.
Count the nights from the arrival date. A Tuesday check-in and a Thursday check-out produce two nights.
The Clearance Sequence Comes First
Apex admissions run through pre-registration and a security clearance process. The admissions policy admits military and government staff from the US and overseas, industry partners, industry participants and media. Every name submitted goes through that process. On-site registration capacity is limited.
Badges clear before the rooming list is final. A delegate whose application fails never checks in, and a room held in that name becomes attrition. Send names first, then hold rooms against approved names.
Clarion's cancellation terms harden that order. A booked participant place cannot be cancelled, and registration, booking and administration fees are non-refundable. Substitution is the route out: the organiser accepts a substitute participant at no extra cost against written notice to hello@apexdefense.org. Keep one named reserve per six delegates and the badge count survives a withdrawal.
One Invoice for the Whole Delegation
Send one request covering every room. A bookMyTeam request reaches 50 or more hotels per destination. Hotels return group rates, terms and proposals within 24 to 72 hours. Offers land in one dashboard for side-by-side comparison. The delegation contracts with the property and pays the hotel directly. Submitting the request costs nothing, and the platform adds no commission to the rate, since hotels pay a separate commission on accepted bookings.
The platform's glossary defines a group rate as a block of 10 or more rooms. A nine-room request still files as a single submission. Ask each property for its own minimum room count, and the replies settle which will quote below ten.
The Official Accommodation Desk
The organiser names EventBeds by NuBreed Hotels as its official accommodation partner. The accommodation page advertises discounts at selected properties near the venue, at up to 30 percent against booking direct, with fully flexible rates available. That desk runs a separate group booking route for 10 rooms or more.
Ask both routes for three answers in writing: the attrition percentage, the release date and the cancellation terms. Hold the block a couple of rooms above the approved badge count. Release the surplus before the release date.
What the Venue Settles
Events DC publishes no public parking at the Convention Center. Over 3,000 spaces sit within a three-block radius, and parking rules are heavily enforced in the surrounding residential blocks. A driving delegation parks once and walks.
Complimentary Wi-Fi runs at 768 kBps in each direction across the facility. That speed covers mail and messaging. A live software demonstration needs a wired connection.
Dress and Entry
The admissions policy requires business or service dress. Identity checks run as a condition of entry, and every attendee carries a photographic identity document. A badge admits the person named on it. No person under 18 is admitted during the tenancy period.
The Rate Comes From the Request
Clarion publishes no room rate for the Apex dates. Events DC publishes none either. Send the two nights, the room-type split, the approved badge list and the attrition question in one submission at /rfp/submit. Take a first read on the band from the group rate calculator, then compare the offers and settle the block before the clearance list closes.
