Dot Foods brings its national business meeting to the Indiana Convention Center from Wednesday 27 to Friday 29 January 2027. The venue publishes a forecast attendance of 2,000. It lists the event against the Indiana Convention Center and Lucas Oil Stadium.
What the venue publishes about rooms
The venue event record gives the dates, the building at 100 South Capitol Avenue, Indianapolis, IN 46225, and the telephone number (317) 262-3400. Its doors-open line reads "check event website," and its Visit Event Website control resolves to a bare "#". No host hotel, room block or rate for these dates appears on that page. A corporate travel manager runs the room side of the trip.
The booking mechanics
bookMyTeam publishes the block terms on its own pages. A room block holds rooms at a locked-in rate until a cut-off date, and the hotel returns unclaimed rooms to general inventory after that date. An attrition clause sets the minimum percentage of the block the group must fill, and the brand lists it under the names performance clause and slippage clause. A request goes to 50 or more hotels per destination, and the hotels respond within 24 to 72 hours. Submitting costs nothing, and the brand adds no commission to the booking rate. Group rates apply to a block of 10 or more rooms per night.
The week the rooms are being asked for
Two thousand attendees at two to a room is roughly 1,000 rooms on a single night, about 14 per cent of the 7,100 rooms the venue counts downtown. The same building carries more across the same days. The venue event feed puts the Circle of Stars Gymnastics Invitational in Exhibit Hall I-K on Friday 29 January at a forecast 5,000, and the RxHealing Sales Convention on the same day at 2,000, both running to 31 January. The Indianapolis Royal Weekend adds 1,250 on the 31st. The weekend before, the Central Zone Invitational takes Exhibit Hall A-K on 23 and 24 January at a forecast 20,000.
The airport run
The venue publishes 15 minutes to Indianapolis International Airport, which puts a mid-morning arrival inside the working day. Its transportation page lists the connections from the airport. The Ground Transportation Center on the first floor of the Terminal Garage carries bus service, car rental, taxi, rideshare, hotel courtesy vehicles and limousines, and curbside taxis wait outside Baggage Claim. For pick-ups and drop-offs the page names the Maryland Street canopy, and it warns that access there can be restricted during certain events. IndyGo runs the city bus network from a call centre on (317) 635-3344.
Keeping one team inside one property
The venue's newest headquarters hotel, the Signia Hilton Indianapolis, connects to the building by skywalk. The convention center publishes 803 rooms for the property and a December 2026 opening, which falls before these dates.
Ask each shortlisted property for the room count it can commit on your nights, for the floor or floors it can hold, and for the guarantee it will write into the contract. Those three answers decide whether the team sits in one property.
Nights and room-nights on a forty-person team
The meeting runs Wednesday to Friday. A team that lands Tuesday evening books the nights of 26, 27 and 28 January and checks out on the Friday, which is three nights. Forty people in twenty double rooms is 60 room-nights. An arrival on Wednesday morning removes one night and 20 room-nights, for 40 room-nights. Compare the group rate against the published single rate on the same dates, because the saving is measured against the rate the hotel charges one traveller.
Skywalks and the walking district
Of downtown's 7,100 hotel rooms, 4,700 connect to the Convention Center by skywalk, and 200 restaurants sit within walking distance. The skywalk hours are event-dependent, with the venue rule of thumb a lockdown around 11 p.m. and a reopening around 6 a.m.
What to put in the request

Ask for the bed configuration the team will be given, the breakfast opening hour, coach, van or motorcoach parking and its charge, and whether the whole team can be held on one floor.
