The meet, the dates and the field
The NCAA Division II Men's and Women's Swimming and Diving Championship runs Tuesday, March 9 to Saturday, March 13, 2027 at the IU Natatorium in Indianapolis. The championship covers preliminaries and finals in swimming alongside diving competition. The diving qualification meet is in the same building on Tuesday, March 9.
The field is capped. The NCAA's 2026-27 important updates set the men at 175 participants (157 swimmers and 18 divers) and the women at 205 (183 swimmers and 22 divers), and state that every invited swimmer and diver counts toward the 380 total participants allowed.
One department travels as a single unit: swimmers, divers and coaches.
The rooming list is not final until February 24
The NCAA publishes the whole qualification timeline, and it explains why the list firms up late. Qualification closes Sunday, February 21, 2027. Results are due Monday, February 22 by 5 p.m. Eastern, and online entries for swimming and diving are due that day by 11:59 p.m. Eastern. The swimming entry list is posted for review, and the review and challenge period opens with it.
The decisive date is Wednesday, February 24, 2027, when the official qualification lists, including alternates, are posted on ncaa.com by 5 p.m. Eastern. Relay confirmations and the designation of up to four relay-only swimmers follow on Friday, February 26 by 5 p.m. Eastern.
Thirteen days separate the official list from the first day of competition.
One reservation, held the NCAA way
The NCAA runs a team hotel block for this championship, and the prior cycle's document shows its shape. For the 2026 championship in Evansville it published seven properties with double/double rooms from $115 to $159 a night, a flat 15% tax, and one reservation cut-off of Monday, March 2, 2026 at 5 p.m. local time, six days before the Sunday arrival.
The same document publishes complimentary hot breakfast, complimentary self and bus parking, WiFi and meeting space, and one complimentary room night for every 25 room nights paid. Payment terms are set with each institution at reservation, and each team carries its own room, tax and incidental charges.
The 2026-27 hotel options document is not posted, so no Indianapolis property list, nightly rate or 2027 cut-off is published. Ask for all three rather than carrying last cycle's numbers forward.
Five nights or six, and the Saturday return
Check-in Monday, March 8 with a Saturday, March 13 release books five nights. A department that mirrors the prior cycle's Sunday arrival checks in March 7 and books six. Either way the trip ends on the championship's final day.
At double occupancy, 20 travellers in ten double rooms come to 50 room-nights over five nights, or 60 over six. Twelve in six doubles come to 30 and 36. Twenty-four in twelve doubles come to 60 and 72.
The money at a labelled example rate
No Indianapolis rate for March 2027 is published, so the working figure is the planner's own. At a labelled $200 per room per night, 50 room-nights is $10,000 before any group rate and 60 is $12,000. The platform's published saving band is 15-40%, which puts those two near $8,500 and $10,200 at 15%, and $6,000 and $7,200 at 40%.
The NCAA block returned one complimentary room night for every 25 room nights paid. Fifty room-nights returns two, and 90 returns three.
Deck passes decide who actually travels
The 2026-27 updates memo publishes the deck-pass distribution formula per gender: two passes for a team with one to four swimmers, three for five to nine, four for 10 to 14, and five for 15 to 18, plus one more for any diver and one more for any relay-only swimmer. Coaches request passes through the USA Swimming online meet entry system, and NCAA staff notify each institution of its final allotment after selections. The prior cycle's participant manual states that a coach without an entrant pays the regular admission fee and is not allowed on the deck.
Build the rooming list from that number. A staff member outside the formula travels as a spectator at full ticket price.
Early starts and the pool clock
The prior cycle's participant manual sets the day shape. Doors opened at 1 p.m. on the Sunday and 6:30 a.m. Monday through Saturday, prelims began at 10 a.m. and finals at 5:30 p.m. The practice schedule header reads that all times are Central, which matches the Evansville host city. A Saturday final session finishes late, and a Saturday departure and a Saturday-night final cannot both be clean.
Decide it after February 24, when the official list tells you who is swimming on the last day.
Book one block for the whole party
bookMyTeam publishes the group rate at a block of 10 or more rooms per night, and adds that some hotels discount from as few as 5 rooms depending on season and availability. A championship party clears 10 rooms comfortably. Four terms belong in the agreement: the cut-off date, after which unclaimed rooms return to general inventory; the attrition clause setting the minimum share of the block the department must fill; the 24-72 hour response window from 50+ hotels per destination; and the fee line, published at $0 with hotels paying the commission and the rate never marked up.
The saving claim carries three published bases. The how-it-works page reads 15-40% below rack rates, the homepage badge reads 15-40% group savings, and the homepage glossary reads that group rates are typically 15-40% below the Best Available Rate. Ask which base a hotel is quoting. The Indianapolis directory lists 273 hotels available.
Submit one request with the party size, the five- or six-night shape and your cut-off, test the total with the group rate calculator, and keep the rooming list open until the NCAA posts the official qualification lists.
