2,000 people, three days, Exhibit Hall A-B

Henry Schein holds its National Sales Meeting at the Indiana Convention Center, 100 South Capitol Avenue, Indianapolis, from Tuesday 2 February through Thursday 4 February 2027. The venue places the meeting in Exhibit Hall A-B and forecasts 2,000 attendees.

What the organiser publishes

The meeting is a private company gathering. Henry Schein publishes no registration, no agenda, no host hotel and no nightly rate for it, so the room side rests on the venue's published record and on what a property will confirm directly.

The Thursday return protects Friday

The meeting closes on a Thursday. Two nights, Tuesday 2 and Wednesday 3 February, cover it for most of the field. A Thursday departure hands Friday back to territory calls. Sales leaders and the set-up crew arrive Monday 1 February, which adds a third night for a short list. Build the rooming list around that split rather than carrying the whole group for three nights.

Room nights for one territory

A 40-person territory at double occupancy needs 20 rooms. Two nights give 40 room-nights. A 12-person district at double occupancy needs six rooms, or 12 room-nights. Add the districts together before the request goes out, because a block is measured in rooms per night.

2,000 attendees is a material share of downtown

Downtown Indianapolis publishes 7,100 hotel rooms. At double occupancy the meeting's 2,000 attendees need about 1,000 rooms across the two nights. That is roughly 14 percent of downtown inventory committed to one corporate group. The Convention Center connects 4,700 of those rooms by skywalk, and 200 restaurants sit within walking distance. Ask for skywalk-connected properties first. In a February Indianapolis arrival the indoor route between the bed and the exhibit hall is a working condition.

Keeping a district in one property

One reservation per district and one rooming list carrying every name separates a group that checks in together from 20 separate folios. bookMyTeam.org publishes group rates for blocks of 10 or more rooms per night. /how-it-works adds that some hotels discount for as few as five rooms depending on season and availability. A 40-person territory clears the threshold alone, and two adjacent territories can share one property and one contract.

Put the district name and the arrival night beside each traveller on the list. A property builds its housekeeping and breakfast plan from that document, and corrections cost less before the cut-off date.

The dates before and after

Monster Jam runs two days at Lucas Oil Stadium on 6 and 7 February, the weekend after the meeting. A team that stays through Friday or Saturday competes with that demand for rooms. The two nights that matter are clear: the venue feed lists nothing else at the Convention Center or the stadium between 1 and 4 February.

Two thousand room-nights concentrate the negotiating position

At a $200 example rate the meeting's 2,000 room-nights carry a base value near $400,000. Fifteen percent off brings that to $340,000, and forty percent off to $240,000. The example rate is the planner's own input, because no Indianapolis property publishes a group rate. Even at the low end the total is the argument for one contract per district.

The booking window

bookMyTeam.org charges no planner fee, contacts 50 or more hotels per destination, and returns rates within 24 to 72 hours. Its published saving band is 15 to 40 percent below best available rate. Send the rooming list with the rate request at /rfp/submit, and price the block first at /group-rate-calculator. Ask for the cut-off date and the attrition clause in the same document. The cut-off date decides when unclaimed rooms return to general inventory, and the attrition clause sets the share of the block the group must fill.
