A four-night block for a percussion studio
PASIC 2026 runs Wednesday 11 November to Saturday 14 November at the Indiana Convention Center, 100 S. Capitol Avenue, Indianapolis, IN 46225. The Percussive Arts Society holds its annual convention there, and the venue publishes a forecast attendance of 5,200.
For a university studio or a high school ensemble this is a four-night trip: the nights of Wednesday 11, Thursday 12, Friday 13 and Saturday 14 November, with checkout on Sunday 15. That Sunday departure keeps Monday teaching intact, and it is the arrangement to fix first.
Arrival and the published timetable
The registration desk opens at 5 p.m. on Wednesday 11 November and closes at 9 p.m. The first scheduled item is the 8 p.m. Wednesday concert, so a Wednesday arrival covers badge collection and the opening evening. Thursday to Saturday programming starts at 9 a.m. The last daytime Saturday session sits at 4 p.m., and the closing concert starts at 6 p.m.
The organiser points to a network of skywalks linking downtown hotels to the Convention Center. The venue publishes 4,700 rooms connected to the building by skywalk out of 7,100 downtown rooms.
Registration, and the deadline that sets the price
Online registration closes Thursday 29 October. The 4-Day Badge covers Wednesday to Saturday. At the current online tier it costs $235 for a Student Member, $300 for a Member and $350 for a Non-Member. On site the same badge is $250 for a student and $400 for a non-student, and the organiser states that no discounts are available there.
The gap is worth showing a department head. Sixteen students on Student Member badges come to $3,760 and four staff on Member badges to $1,200, for $4,960. The same twenty people registering on site would pay $5,600, a difference of $640. Pre-registration accepts school purchase orders, business cheques, personal cheques and credit cards; on-site payment is cash and credit card only.
Group pricing comes from the organiser, by email
PAS does not post a group rate table. It publishes the route: email membership@pas.org or call (317) 974-4488, and the same address supplies a PDF or paper registration form if a school purchasing process needs one. Ask in writing before the allowance is built.
The housing bureau takes one rooming list
MCI is the official PASIC Housing Bureau. Its PASIC 2026 site runs a group block request for parties of 10 or more, a manage-group-reservations route, and a rooming list template completed and uploaded through Passkey. Fill every red-font field per reservation before uploading.
Fifteen official hotels appear on the housing site with room types published, among them the Courtyard by Marriott Downtown Indianapolis, Embassy Suites Indianapolis Downtown, Fairfield Inn & Suites Indianapolis Downtown, the two Hampton Inn properties, Homewood Suites, Hilton Garden Inn, Holiday Inn, Hyatt Place and Hyatt Regency Indianapolis, the Indianapolis Marriott Downtown, JW Marriott Indianapolis, SpringHill Suites and The Westin. No nightly rate is published there without running a search, so ask the bureau for the group rate in the same enquiry as the block.
Student-to-chaperone rooming, and the room nights it produces
Students pair in doubles and chaperones take singles so an adult can be reached at any hour. Twenty people, sixteen students in eight doubles and four chaperones in singles, produce 32 student room-nights and 16 chaperone room-nights, 48 in total, or 2.4 per person across four nights. Twelve people, ten students in five doubles and two chaperones in singles, produce 28 room-nights at 2.33 per person.
No PASIC rate is published, so price the block against your own quoted figure. At a labelled example of $200 per room per night, 48 room-nights are $9,600, $8,160 at the 15 per cent group saving bookMyTeam publishes and $5,760 at 40 per cent. Treat the $200 as your own input until the bureau replies.
The November calendar in Indianapolis
PASIC shares the month with other downtown Indianapolis demand. The Monumental Health and Fitness Expo holds Exhibit Hall A-B on 6 November with a forecast of 20,000, the Midwest Healthcare Engineering Conference runs 8 to 10 November in Exhibit Hall A with a forecast of 600, and PASIC opens across the same building the next day. A four-night block spanning a Saturday sits in the tightest part of that stretch.
Late approvals, and the four questions to put in writing
Approval moves on a committee calendar, so separate what can be fixed now from what can wait. Rooms can be held under one reference, the rooming list can be built as names clear, and the organiser’s cancellation terms allow a refund through 29 October against a $50 fee, which gives a department a clean exit before the money is committed.
Four facts sit outside the published PASIC material, so put them in the room request: the bed configuration the block holds for your dates, the breakfast opening time, whether a coach or trailer can park on site and at what charge, and whether the property will keep the studio on one floor. The organiser also publishes a professional development credit log, since state requirements for credit vary.
Send the request through the group room request form, size the block with the group rate calculator, and read how the request process works before the committee meeting. A block of 10 or more rooms per night earns the group rate, and some hotels discount from as few as five rooms depending on season and availability. Indianapolis supply is on the Indianapolis hotel directory.
