Three Events, One Weekend
The Oregon Convention Center lists three events across 26 to 28 February 2027. In10sity Dance Competition runs in the Oregon Ballroom. Pac West Cheer and Dance Nationals runs in Halls D-E. Bricks Cascade takes Halls A-A1 on the Saturday and Sunday.
26 February 2027 is a Friday. 28 February is a Sunday. A company meeting on those dates draws its rooms from the same downtown Portland pool as three event audiences.
The Designation Line on the Event Card
The PacWest event card prints 2/26/2027 to 2/28/2027, the Oregon Convention Center, Housing Designation: Housing Required, and 500 points.
Team Travel Source runs housing for Varsity Spirit events. Its Stay-to-play FAQ states the purpose: cities measure the economic impact of events on hotel room usage, and consolidated bookings let housing partners hold rates firm. A booking through the partner still earns hotel loyalty points.
A company group sits outside that system and books into the same inventory. The shared room pool is the planning fact.
The Booking Window Has Moved
The January and February group of Housing Required events sent coach emails on 15 September 2026 at 12PM EST. Team booking opened 16 September 2026. The link went public on Monday 28 September 2026 at 11AM CST.
A program's wave came from a 48-hour registration rule. A company booking today books on the public link and reads the same live inventory.
Put the Cut-off Date in Writing
Team Travel Source manages reservations to a contracted cut-off with each hotel. It returns unsold rooms at that date. The hotel then takes reservations, charges deposits and pre-authorizes cards.
The public housing pages print no cut-off for this event. Ask for the date at booking and record it on the contract file.
Three fee rules apply. A booking service fee is charged per confirmed reservation and does not come back. Housing protection is optional. A waitlisted night carries no upfront booking fee until the reservation confirms.
A lower rate found on the hotel's own site goes to the Lowest Rate Guarantee form. The comparison needs the same room type, the same dates, the same amenities and the same cancellation terms, and the guarantee runs only to the contracted cut-off.
Arrival Nights and the Garage
The venue garage generally opens at 6:00 AM. Overnight parking is prohibited. A pre-dawn arrival waits for the gate.
Parking runs $15 for up to 18 hours with no in-and-out privilege. Event days carry a dynamic entry rate of $15 to $25. The garage holds 800 spaces on a first-come basis. P1 clears 7 feet and P2 clears 9 feet.
A Friday-to-Sunday meeting needs two nights, Friday 26 and Saturday 27. A Sunday departure puts the coach on the road after a three-event weekend.
MAX stops 300 times a day at the front door. The Streetcar A Loop arrives every 15 minutes. The adult fare is $2.80 for two and a half hours and the day cap is $5.60. The fare covers Portland Streetcar at no extra charge. Portland International Airport sits eight miles away.
What to Send in the Request
Name the nights rather than the dates: Friday 26 and Saturday 27 February 2027. State the room count and the split of singles and doubles. Ask for the minimum-stay term and the cancellation ladder on each bid. Ask whether the property holds rooms past the housing cut-off for that weekend. Ask for the parking charge per night, because the venue garage sells no overnight space.
Send the request through the RFP form. Compare the bids on the group rate calculator. The Portland directory carries the supply list of 278 hotels, and the published band runs 15-40% below rack rates with responses in 24 to 72 hours.
Four checks close the plan. Confirm the arrival night against a 6 AM gate. Confirm the cut-off date in writing. Set the room count before the next program books. Match every bid on the same nights and the same room types.
