The Portland Golf Show runs March 5 to 7, 2027, at the Portland Expo Center in Hall D. Varsity Communications produces the show and publishes 9,000 golf enthusiasts expected to attend. A three-person exhibitor team needs four published numbers before it books: the booth, the badges, the card fee and the insurance date.
The booth price moved on October 16
The 2027 exhibitor agreement carries three rate tiers for a 10 by 10 booth. The price was $1,645 for an agreement received by October 15, 2026. It is $1,745 for an agreement received between October 16 and December 1, 2026. It is $1,845 after December 1. A two-year commitment to the 2027 and 2028 shows carries $1,645 today. A 10 by 20 booth runs $2,975 in the current tier and $3,075 after December 1. A corner request adds $175. Bulk space at 10 by 30 and larger is quoted by the organiser.
An agreement signed this week therefore lands at $1,745. The two-year rate saves $100 a year and commits the company to a second show.
Three badges from the four
Exhibitors receive four badges per 10 by 10 booth. Extra badges cost $5 each and are bought on site. A three-person team uses three of its four and keeps the fourth for a shift change. Badges are collected at the exhibitor check-in area during load-in, and every badge goes back at the end of the show. Staff who rotate through the weekend can collect spare badges at the Will Call table from 10 a.m. Friday.
Net 30, then a 3.5% card fee
The agreement invoices on receipt with payment due net 30 days. From January 15, 2027, payment is due on receipt. Full payment is required before the exhibitor checks in, whatever the invoice date. Every quoted rate is a cash rate. A card payment carries a 3.5% convenience fee on the amount processed, which is $61.08 on $1,745. The booth costs $1,806.08 on a card and $1,745 by check.
Insurance is due February 19
Varsity requires proof of Comprehensive General Liability insurance two weeks before the event, and the certificate must name Varsity Communications Inc. as an additional insured. Two weeks before March 5, 2027 is Friday, February 19, 2027. The agreement sets no dollar limit on the certificate, so send your insurer the wording the show publishes and ask for the certificate in that form. The certificate is a condition of the agreement, so a late one puts the booth at risk before check-in.
The 10 a.m. Friday rule
The exhibit must be completely assembled and ready for guests by 10 a.m. on Friday, March 5, 2027. Show hours are 11 a.m. to 5 p.m. Friday, 10 a.m. to 5 p.m. Saturday and 10 a.m. to 4 p.m. Sunday, which is 19 floor hours. Teardown starts no earlier than 4:01 p.m. Sunday, March 7. The booth is staffed during all show hours under the agreement.
Load-in runs through the Hall D dock at the west end of the building, which has two ground-level roll doors for vehicles and three loading bays for freight. Vehicles enter the grounds from the east entrance and drive around the buildings on move-in days. Booths are assigned about two weeks before the show. Trade Show Supply provides decorator services, and orders go to bryan@thedecorator.net.
Parking across three days
Exhibitors park in the lot behind the Expo Center, reached from North Marine Drive onto Force Avenue. The organiser's exhibitor page prices exhibitor parking at $13 a day or $45 for a three-day pass, with the exhibitor pass allowing re-entry through the day. The venue publishes a standard rate of $15 per car per entry, and states that prices can vary at special events. Three days at $15 comes to $45, the same as the pass. Three days at $13 comes to $39.
The organiser page still carries the previous cycle's dates, so treat the parking figures as the last published terms and confirm the rate with the show office at check-in. The venue address is 2025 North Expo Road, Portland, OR 97217. The organiser page prints 2060 North Marine Drive for the same building.
What the trip adds up to
The published lines for a three-person team are $1,745 or $1,806.08 for the booth, nothing for badges, and $39 to $45 for three days of parking. That is $1,784 to $1,851.08 before travel and rooms. The agreement also requires an Oregon UBI number on the form, and the cancellation ladder runs at 50% of the fee for a written cancellation by December 20, 2026, 75% by January 19, 2027, and 100% inside 45 days.
Rooms come next. bookMyTeam publishes group rates at 10 or more rooms per night, with some properties from five, and a three-person crew sits under both. Submit the room request through the RFP form with the three show nights and the parking position in the notes. The group rate calculator prices a first-pass room budget, and the how-it-works page sets out the 15-40% band and the 24 to 72 hour reply.
