WaterSmart Portland 2026: three engineers, four nights, two pass types

The American Water Works Association runs WaterSmart Innovations at the Oregon Convention Center from Wednesday 21 to Friday 23 October 2026. A utility sending three engineers faces one roster decision and one cancellation clause.

The calendar

AWWA lists the conference as 21-23 October. The venue publishes session hours of 7:00 a.m. to 5:00 p.m. on Wednesday, 7:00 a.m. to 6:00 p.m. on Thursday and 7:30 a.m. to 4:30 p.m. on Friday, with the event in Halls A-A1 at 777 NE Martin Luther King Jr Boulevard.

The venue's date strip reads 20 to 22 October. Book travel against the association's 21-23 October range and the session hours.

Tuesday arrival, Saturday departure

Sessions open at 7:00 a.m. on Wednesday. A Tuesday 20 October arrival puts the team in Portland the night before that start.

The conference closes at 4:30 p.m. on Friday. A Saturday 24 October departure takes the same-evening airport run out of the plan.

That calendar holds four hotel nights, 20 to 23 October, with checkout on the Saturday.

Two pass types

A full-conference non-member pass costs $795 from 22 September. The same pass costs $695 on or before 21 September at 11:59 p.m. ET. A member pays $695 in the regular window and $595 in the early window. The pass covers educational sessions, the exposition, the reception and lunches. Workshops and tours run $90 to $180 each.

Exhibits-only registration costs $100 for a non-member and $70 for a member before 21 September. It covers the exposition and exhibit-hall events, and it excludes sessions, workshops and tours.

Splitting three engineers

Three full-conference passes at the non-member regular rate come to $2,385. Two full-conference passes and one exhibits-only pass come to $1,690, and that split leaves $695 on the registration line.

An engineer whose week sits in vendor meetings and equipment takes the exhibits-only pass. An engineer who needs the session programme takes the full-conference pass.

The room line

Four nights and three rooms make 12 room-nights. At a labelled example rate of $209 per room per night, the room line reaches $2,508 before tax. Neither AWWA nor the venue publishes a nightly rate for the conference property.

AWWA names the DoubleTree by Hilton Portland as the conference hotel, half a mile from the convention centre and a 5 to 10 minute walk through the Lloyd District. The association states that the official block deadline has passed and rooms remain available.

WSI attendees staying at the DoubleTree receive complimentary MAX Light Rail passes. Trains reach the Convention Center stop in about 5 minutes over 1 to 2 stops, at intervals of 15 minutes or less, and the pass covers the Red Line to Portland International Airport. The walk and the rail pass leave the car at the property.

AWWA warns that unauthorised organisations solicit hotel rooms from attendees, and directs bookings through its own link.

What a cancellation costs

AWWA accepts cancellations in writing only, by email to services@awwa.org. The association refuses phone cancellations.

A cancellation dated on or before the early-bird deadline returns the fee minus a 25 percent administrative charge. On a $795 pass that charge is $198.75. On a $695 pass it is $173.75. Three full-conference passes at $795 carry $596.25 of exposure.

After the early-bird deadline the refund falls to zero. AWWA accepts substitute registrants, and that route covers a roster change inside the final month.

The exhibits-only pass carries the same terms on $100, with $25 retained before the deadline and nothing after it.

The parking line

The convention centre garage holds 800 spaces underground, entered from NE Lloyd Boulevard at P1 or NE First Avenue at P2. Standard daily entry is $15 for up to 18 hours, with no in-and-out privileges. The garage charges a dynamic $15 to $25 at entry during events, and overnight parking is prohibited.

Three event-day entries fall between $45 and $75. A team at the conference property walks or rides the MAX pass and books no garage entry.

Putting the rooms out to bid

Three rooms sit below the group threshold the platform publishes. The bookMyTeam how-it-works page states that group rates generally start at 10 rooms per night, with some properties quoting from 5. A utility running several teams to Portland inside one month can combine those rooms into a single request.

The platform publishes 15-40% below rack rates, a 24-72 hour response window and 50+ hotels reached per request. The group rate calculator applies a discount band to a nightly rate a planner enters, defaults to 10% and describes 15-30% as the range the platform secures. The $209 figure above is an example rate.

Submit the request through the RFP form, and confirm the property's own cancellation terms against AWWA's clause. The city directory lists Portland properties.
